Marin Immigration Law is a growing Canadian immigration law firm seeking a full-time Administrative Assistant with the opportunity to transition into an Office Manager or supervisory role as the firm continues to expand.
This is a fully remote position, open to candidates located anywhere in Canada, who thrive in a technology-driven, task-oriented environment and take pride in delivering high-quality, detail-oriented work.
No prior immigration or law firm experience is required, though relevant experience in administration, legal support, content writing, editing, marketing, or bilingual client service will be considered an asset and compensated accordingly.
About the Role
The Administrative Assistant will work closely with Cedric Marin, owner and immigration lawyer, as well as with the firm’s articling student and future team members. This role is ideal for someone who works independently, learns quickly, and is highly attentive to detail.
You will support the firm across a wide range of administrative, client-facing, document-related, operational, and marketing tasks, playing a critical role in ensuring smooth operations, consistency, and excellent client service.
Key Responsibilities
Administrative & Operational Support
- Managing and responding to information requests
- Renaming, organizing, reviewing, and formatting documents
- Assisting applicants with form completion and onboarding
- Preparing initial drafts, formatting, indexing, bookmarking, and hyperlinking legal documents
- Supporting client onboarding, including use of Google Drive and shared documents
- Collecting and organizing client documents for lawyer review and submission
- Communicating with clients to help them understand services and next steps
- Assisting with billing, invoicing, and sending legal services agreements
- Using task-management systems to track and complete assigned work
Editing, Proofreading & Quality Control
- Editing, proofreading, and reviewing documents for grammar, spelling, formatting, and clarity in both English and French
- Identifying and correcting mistakes, inconsistencies, and typographical errors
- Ensuring documents meet firm quality standards before lawyer review or client delivery
- Maintaining consistency across bilingual documents, templates, and client-facing materials
- Acting as an additional layer of quality assurance to support accuracy and professionalism
Marketing & Content Support
- Assisting with marketing initiatives, including blog content and written materials
- Conducting research for blog posts, articles, and informational content
- Supporting the drafting, editing, and formatting of blog posts and website content
- Helping ensure marketing materials are clear, accurate, well-structured, and aligned with firm messaging
- Collaborating with the legal team to translate complex immigration concepts into client-friendly bilingual content
Language Requirements
- Fully fluent and professionally bilingual in French and English (written and spoken)
- French-language native proficiency strongly preferred
- Ability to draft, edit, proofread, and communicate with clients confidently in both languages

Work Schedule & Compensation

Full-time: 40 hours per week
Salary: CAD $45,000 – $65,000 per year, depending on experience
