Marin Immigration Law is a growing Canadian immigration law firm focused on transparent, high-quality, client-centered legal services. Our legal team works remotely from across Canada. This role is different. It is fully in person and serves as the physical hub that keeps the whole team running.
About the role
While our lawyers and staff work remotely throughout the country, you will be our on-site presence in Ottawa. You are the person who handles everything that needs to happen in a physical location: mail, printing, scanning, document assembly, and trips to the post office.
You will also communicate directly with clients about the status of their applications, and you will draft correspondence on behalf of our lawyers to request records from government offices, archives, and other institutions.
This is a great fit for someone who is organized, reliable, detail-oriented, and enjoys being the dependable in-person anchor for a distributed team.
What you'll do
Mail and document handling
- Collecting, scanning, and printing incoming and outgoing mail
- Running mail to and from the post office
- Preparing cheques and money orders to pay for record and document requests, and managing mailing and postage costs
- Organizing PDFs, building tables of contents, and adding page numbers to legal documents
Correspondence
- Ghostwriting letters in clear, professional English on behalf of our lawyers to request documents from vital statistics offices, records organizations, archives, and dioceses
- Following up on outstanding requests
Client communication
- Keeping clients informed about the status and progress of their applications
- Answering questions and helping clients understand next steps
What we're looking for
- Excellent written and spoken English with strong attention to detail. This role involves a great deal of organization, attention to detail, and writing on behalf of the firm.
- Highly organized, reliable, and comfortable working independently on-site.
- Comfortable with technology, including PDF tools, Google Drive, email, and task management systems. Our law firm lots of software and programs to operate.
- Professional and warm when dealing with clients.
- French is an asset but not required.
Details
- Full-time, permanent, 40 hours per week, Monday to Friday, standard business hours (EST)
- 100% in person at our Ottawa office
- Salary: CAD $45,000 to $65,000 per year (about $21.50 to $31.25 per hour, based on a 40-hour week)
- 2 weeks paid vacation plus statutory holidays
- Room to grow as the firm expands
